AIBooka LLC (“AIBooka,” “we,” “us,” or “our”) provides an AI-powered voice receptionist platform for small and medium-sized businesses (“Business Clients”) in the United States. This Privacy Policy explains how we collect, use, share, and protect information when you (a) visit aibooka.com, (b) interact with our demo widget, or (c) place a call that is answered by an AI voice agent deployed on behalf of one of our Business Clients.

1. Who This Policy Covers

This policy applies to three groups of people:

  • Website visitors: anyone browsing aibooka.com or using our interactive demo widget.
  • Callers: individuals who call a phone number operated by one of our Business Clients and are answered by an AIBooka voice agent.
  • Business Clients: the businesses (restaurants, temples, dental practices, and other service businesses) that subscribe to AIBooka’s platform.

2. Information We Collect

a) When you visit our website or use the demo widget

  • Business name, contact phone number, and any details you submit through our intake form
  • Information looked up via Google Places (e.g., business address) when you search for your business during a demo
  • Voice audio and generated transcript of your demo conversation with our AI agent
  • Standard site analytics (pages visited, device/browser type, approximate location from IP)

b) When you (or someone else) calls a Business Client’s AI-answered line

  • Call audio recordings and AI-generated transcripts
  • Information you provide during the call, such as your name, phone number, appointment details, order details, or the nature of your inquiry
  • Metadata about the call (time, duration, outcome)

c) From our Business Clients

  • Business information needed to configure and operate their voice agent (business name, services offered, hours, FAQs, integrations such as calendar or CRM systems)

3. How We Use Information

We use the information above to:

  • Operate, maintain, and improve the AIBooka platform and voice agents
  • Answer calls, schedule appointments, log inquiries, and route information to the relevant Business Client
  • Generate demo experiences and follow up on demo requests
  • Provide customer support to Business Clients
  • Monitor and improve call quality, accuracy, and reliability
  • Meet legal and security obligations

We do not sell personal information, and we do not use caller data to build advertising profiles.

4. Who We Share Information With

We share information only as needed to operate the service, with the following categories of service providers (“subprocessors”), each bound by contractual confidentiality and data protection terms:

We also share information directly with the relevant Business Client when a call or demo pertains to their business. This is the core function of the service (e.g., a restaurant receives the reservation details from a call answered on its behalf).

We may disclose information if required by law, subpoena, or to protect the rights, safety, or property of AIBooka, our Business Clients, or others.

5. Data Retention

  • Demo interactions: retained for a limited period to support follow-up and service improvement, then deleted or anonymized.
  • Call recordings and transcripts: retained for as long as needed to provide the service to the relevant Business Client, support quality review, and meet any legal obligations, after which they are deleted or anonymized.
  • Business Clients may request earlier deletion of their call data by contacting us.

6. Your Choices and Rights

Depending on where you live, you may have rights to:

  • Request access to, or a copy of, personal information we hold about you
  • Request correction or deletion of your personal information
  • Object to or restrict certain processing
  • Opt out of the sale or sharing of personal information (note: we do not sell personal information)

Residents of California and other jurisdictions with applicable privacy laws (e.g., CCPA) can exercise these rights by submitting a request through our contact form. If your inquiry relates to a call handled on behalf of a specific business, please name that business so we can route your request correctly, since call data is typically controlled by the Business Client.

7. Children’s Privacy

AIBooka’s services are intended for use by adults acting on behalf of, or interacting with, businesses. We do not knowingly collect personal information from children under 13.

8. Security

We use reasonable technical and organizational measures, including encrypted transmission and access controls with our service providers, to protect information against unauthorized access, alteration, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Effective Date” above.
